InsertReady LLC ("InsertReady", "we", "our") operates insertready.com and the InsertReady™ platform. This policy explains what we collect, why, and the choices you have.
What we collect
- Account information: name, business name, email address, phone number, billing address — provided when you create an account.
- Mailing data: recipient lists you upload for processing (names, addresses, optional fields). This data is processed solely to fulfill your job requests.
- Payment information: handled by Stripe. We never store full credit card numbers; only a payment-method token returned by Stripe is retained on your account.
- Usage data: standard server logs (IP address, request timestamp, user agent) for security and debugging.
- Website activity: when you browse insertready.com we record the pages you view, the links and buttons you click, how far you scroll, the site that referred you, your IP address and the approximate location (country and city) derived from it, and your browser and device type. This is recorded against an identifier stored in your browser, which lets us recognise the same browser across visits. If you later submit a form, that identifier is linked to the contact details you provide, so your earlier activity on the site becomes associated with you. We do this on our own servers; we do not use a third-party advertising or analytics network for it.
How we use it
- Process your mailing jobs and deliver outputs.
- Bill for usage and send invoices and receipts.
- Send service-related communications (account changes, security notices, USPS rate updates affecting your jobs).
- Improve service reliability and detect abuse.
- Understand how visitors use our website, and follow up on enquiries with relevant information about the products you looked at.
What we do NOT do
- We do not sell your personal information.
- We do not share your mailing lists with third parties for marketing purposes.
- We do not use your mailing data to train AI models or for any purpose other than completing your jobs.
Service providers
We share data with the following processors only as needed to operate the Service:
- USPS® / AccuZIP®: address validation (CASS™), change-of-address (NCOALink®), presort, and Intelligent Mail® barcode (IMb) generation.
- Stripe: payment processing.
- SendGrid: transactional email.
- DigitalOcean: infrastructure hosting (United States).
- Cloudflare Turnstile: bot/abuse protection on public forms.
- Shippo (DISPATCH product only): multi-carrier shipping label aggregator.
Your rights
You have the following rights regardless of where you live:
- Access: request a copy of personal data we hold about you.
- Correction: ask us to correct inaccurate data.
- Deletion: ask us to delete your account and associated data.
- Portability: request your data in a machine-readable format.
- Opt out of "sale" of personal data: we don't sell data, but you may formally opt out via written request.
To exercise any of these rights, email support@insertready.com from the address on file. We respond within 30 days.
California (CCPA / CPRA)
California residents have the rights listed above. We do not sell or share personal information for cross-context behavioral advertising. We do not knowingly collect data from children under 16. You may opt out of website-activity analysis as described under Florida below.
Florida (Florida Digital Bill of Rights)
Florida residents have the rights listed above. We do not sell personal data and we do not engage in targeted advertising. We do analyse your activity on our website, linked to you once you identify yourself through a form, in order to follow up on your enquiry — you may opt out of that analysis at any time by emailing support@insertready.com, or by enabling your browser's "Do Not Track" setting, which we honour.
Data retention
Mailing data is retained for 90 days after job completion to support reprocessing and audit. Account information is retained while your account is active and for one year after closure for billing and tax compliance. Website activity records are retained for 180 days and then deleted automatically.
Security
Data is transmitted over TLS, stored on access-controlled infrastructure, and backed up nightly. We notify affected customers within 72 hours of confirming any incident that compromises personal data.
PHI is prohibited
InsertReady is NOT a HIPAA-covered service. Do not upload Protected Health Information. See our Terms & Conditions for the full HIPAA/PHI clause.
Changes
We may update this policy. Material changes will be communicated via email. The Effective Date above reflects the most recent revision.
